Dental Examination – Terms & Conditions

Effective date: 27 October 2026
Version: 2.0

  1. General Information

1.1. These Terms & Conditions apply to dental examination appointments booked with Dentaprime UK PLC (trading as “Dentaprime UK”, referred to below as “the Clinic”, “we” or “us”) on or after 27 October 2026.

1.2. The examination service is provided at our clinic located at Cooperage Yard, Sugar House Island, London E15 2QR, United Kingdom.

1.3. The examination fee is £99 per patient.

1.4. The previous promotional Free Examination offer, under which patients paid a refundable booking deposit of £49.50, is withdrawn for new bookings with effect from 27 October 2026.

1.5. Appointments confirmed under the previous offer before that date will continue to be governed by the terms applicable when those appointments were confirmed.

  1. Examination Fee and Booking

2.1. A payment of £99 is required to secure a dental examination appointment.

2.2. The £99 payment represents the fee for the examination service and is payable in advance at the time of booking.

2.3. The booking is confirmed once payment has been successfully received and an appointment confirmation has been issued by the Clinic.

2.4. Unlike the previous Free Examination offer, the £99 examination fee is not automatically refunded following attendance.

2.5. The examination fee is payable irrespective of whether the patient subsequently chooses to proceed with any recommended dental treatment.

  1. Scope of the Examination

3.1. The examination service includes, as clinically appropriate:

  • Review of the patient’s relevant medical and dental history;
  • Clinical assessment of oral and dental health;
  • Diagnostic imaging, which may include panoramic X-rays and/or CBCT scans where clinically indicated;
  • Assessment of possible treatment options;
  • Preparation of an individual treatment plan, where appropriate;
  • Consultation regarding the findings, proposed treatment, and estimated costs.

3.2. The exact scope of the examination will be determined by the treating clinician based on the patient’s individual clinical needs.

3.3. Diagnostic imaging will only be performed where clinically justified and subject to the applicable clinical and radiation protection requirements.

3.4. The examination fee does not include subsequent dental treatment, laboratory procedures, medication or additional services unless expressly confirmed in writing.

  1. Appointment Cancellation and Rescheduling

4.1. Patients wishing to cancel or reschedule an examination appointment should notify the Clinic as early as possible.

4.2. Where the Clinic receives at least three business days’ notice before the scheduled appointment, the patient may request either:

  • A rescheduled examination appointment; or
  • A refund of the £99 examination fee.

4.3. Business days are Monday to Friday, excluding bank holidays in England. The appointment date itself is not included when calculating the notice period.

4.4. Where a patient cancels with less than three business days’ notice or fails to attend, the Clinic may retain an appropriate amount of the examination fee to reflect genuine losses arising from the late cancellation or non-attendance, subject to applicable consumer protection law.

4.5. The Clinic will assess exceptional circumstances, including medical emergencies or other serious unforeseen events, and may waive or reduce applicable cancellation charges.

4.6. If the Clinic cancels an appointment, the patient will be offered an alternative appointment or a full refund of the examination fee.

4.7. Any refund due will be processed in accordance with the Clinic’s published Cancellation & Refund Policy.

  1. Examination Attendance

5.1. Patients are requested to attend their examination at the confirmed appointment time and provide accurate and complete information about their medical and dental history.

5.2. If a patient arrives late, the Clinic may need to reschedule the examination where the remaining appointment time is insufficient to perform an appropriate clinical assessment.

5.3. Any cancellation or rescheduling charge arising from late attendance will be assessed reasonably, taking account of the circumstances and the Clinic’s actual losses.

  1. Treatment Recommendations and Additional Costs

6.1. Following the examination, the Clinic may recommend treatment based on the patient’s clinical condition and individual needs.

6.2. Any proposed treatment will be explained separately, including its scope, relevant risks, alternatives, expected stages and estimated costs.

6.3. The patient is under no obligation to accept or commence treatment following the examination.

6.4. Where the patient elects to proceed, the treatment will be subject to the applicable treatment agreement, informed consent documentation and payment arrangements.

6.5. The £99 examination fee will not automatically be deducted from subsequent treatment costs unless expressly agreed in writing by the Clinic.

  1. Diagnostic Records and Patient Information

7.1. Any diagnostic imaging and clinical records created during the examination will form part of the patient’s dental records.

7.2. Patients may request access to their personal data, including relevant clinical records and diagnostic imaging, in accordance with applicable UK data protection legislation.

7.3. Subject access requests will be handled in accordance with UK GDPR and the Data Protection Act 2018. The Clinic will not ordinarily charge a fee for responding to such requests, except where permitted by law.

7.4. Requests for additional services outside the scope of a statutory data access request may be subject to separately disclosed, reasonable charges.

  1. Clinical Independence and Patient Safety

8.1. All clinical assessments, diagnostic decisions and treatment recommendations are made independently by appropriately qualified dental professionals.

8.2. Payment of the examination fee does not guarantee eligibility or suitability for any particular dental treatment.

8.3. The Clinic may decline or postpone a procedure where the treating clinician determines that it is not clinically appropriate or safe.

8.4. Patients will not be required to purchase additional treatment as a condition of receiving the examination service.

  1. Previous Promotional Bookings

9.1. The Free Examination promotion is closed to new bookings from 27 October 2026.

9.2. Patients who received a confirmed appointment under the previous Free Examination offer before that date will retain the benefits and obligations applicable to their original booking.

9.3. For the purpose of identifying previous promotional bookings, the Clinic will refer to its booking and payment records, including the £49.50 promotional deposit and the applicable appointment confirmation.

9.4. Where an eligible patient attends and completes an examination under the previous promotion, the refund of the £49.50 deposit will be processed in accordance with the terms of that promotion.

9.5. Rescheduling an existing promotional booking will not, by itself, remove the patient’s previously confirmed promotional entitlement, provided that the applicable rescheduling conditions are met.

9.6. New appointments that are not covered by an existing confirmed promotional booking will be subject to the terms in force at the time of the new booking.

  1. Changes to These Terms

10.1. The Clinic may amend these Terms & Conditions from time to time.

10.2. Any revised terms will apply prospectively to new bookings made after the effective date of the relevant amendment.

10.3. Amendments will not retrospectively remove or reduce contractual rights already acquired under confirmed bookings.

  1. Complaints and Consumer Rights

11.1. If a patient has a complaint concerning an examination, booking, cancellation or refund, they may contact the Clinic using the details below.

11.2. Complaints will be handled in accordance with the Clinic’s published Complaints Policy.

11.3. The Clinic will provide its services with reasonable care and skill in accordance with applicable law.

11.4. Nothing in these Terms excludes or restricts any statutory rights or remedies available to patients under the Consumer Rights Act 2015 or other applicable consumer protection legislation.

11.5. Where applicable, statutory cancellation rights under the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013 will also be respected.

  1. Governing Law

12.2. The courts of England and Wales shall have jurisdiction, without prejudice to any mandatory consumer rights concerning jurisdiction.
